Job Title: Virtual Assistant - Dispatcher We are seeking a highly organized and proactive Virtual Assistant (VA) to join our team and manage dispatch operations for our growing freight network. This role is crucial for ensuring smooth communication and coordination between our drivers, shippers, and brokers, contributing directly to our commitment to on-time delivery and client satisfaction.

Responsibilities

The Dispatch Virtual Assistant will be responsible for a range of tasks, including but not limited to:

  • Load Coordination: Efficiently matching available cargo van owner-operators with incoming freight loads (local, regional, last-mile).
  • Communication Management: Serving as the primary point of contact for drivers, shippers, and brokers, providing timely updates and resolving any issues that may arise.
  • Scheduling and Tracking: Managing dispatch schedules, tracking shipments, and ensuring adherence to delivery timelines.
  • Documentation: Assisting with the preparation and management of necessary dispatch documentation, such as bills of lading and proof of delivery.
  • Problem Solving: Proactively identifying and addressing potential delays or complications in the dispatch process.
  • Data Entry: Maintaining accurate records of loads, driver availability, and communication logs.
  • Support: Collaborating with the LA Hauling team to optimize dispatch processes and enhance overall operational efficiency.

Requirements

  • Proven experience in dispatching, logistics coordination, or a similar role, preferably within the freight or transportation industry.
  • Excellent communication skills, both written and verbal, with a professional and courteous demeanor.
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.
  • Proficiency in using dispatch software, logistics platforms, and standard office applications (e.g., Google Workspace, Microsoft Office).
  • Ability to work independently and remotely, demonstrating strong self-motivation and time management.
  • Reliable internet connection and a suitable home office setup.
  • Problem-solving aptitude and the ability to make quick, informed decisions under pressure.

Preferred Qualifications

  • Familiarity with the Southeast U.S. logistics market.
  • Experience working with owner-operators and independent contractors.
  • Knowledge of IFTA filings and compliance is a plus.
