About the position Job Duck is seeking a highly motivated and professional Intake Specialist to support a growing legal team by managing incoming leads, conducting intake conversations, and helping convert prospective clients into retained clients. This role plays a critical part in the client experience, serving as one of the first points of contact for individuals seeking legal assistance. The ideal candidate is confident on the phone, organized, thorough, and comfortable balancing lead follow up with administrative responsibilities. Responsibilities

  • Assist with converting leads into retained clients
  • Assist with additional administrative and intake related tasks as assigned
  • Provide exceptional customer service and create a positive first impression for prospective clients
  • Coordinate with team members regarding client needs and intake updates
  • Track and manage lead activity to ensure consistent follow up
  • Respond to inquiries professionally through phone, email, and other communication channels
  • Maintain accurate records and client information within the CRM
  • Follow up with leads and prospective clients in a timely manner
  • Utilize Clio and other software platforms to manage workflows and client information
  • Support the firm's existing Intake Specialist with daily intake activities
  • Conduct intake conversations with prospective clients and gather relevant information
  • Ensure all communications are professional, accurate, and aligned with firm standards

Requirements

  • Schedule: Monday through Friday, 9:00 a.m. to 5:00 p.m. EST
  • Experience in intake, client relations, lead conversion, customer service, sales, or legal support preferred
  • Previous experience working with law firms is a plus
  • Experience handling inbound and outbound calls required
  • Ability to manage multiple priorities and follow up consistently with prospective clients
  • Strong verbal and written communication skills
  • Ability to work independently with minimal supervision
  • Comfortable using technology and learning new systems
  • Spanish is not required
  • Experience with Clio is highly preferred
  • Required Software: Clio, GoTo, Outlook, Microsoft Office 365
  • Call Volume: Approximately 16 to 30 calls per day
